Outbound sales automation, step by step

OutreachAuto turns outbound into one loop of seven steps. You set up three things once: your inboxes, your ideal customer and offer, and the sequence you approve. Research, writing, sending, follow-up, reply sorting and booking then run on their own, every working day.

What you set up once

Outbound sales automation only works when the inputs are right. These are the three inputs, and each one takes minutes, not weeks.

  • Connect your inboxes. Google Workspace, Microsoft 365 or any SMTP and IMAP inbox. OutreachAuto checks SPF, DKIM and DMARC and starts warmup before the first campaign email.
  • Describe your ideal customer and your offer. Industry, company size, region, technology and the role you sell to, plus one line on what you sell and why it matters.
  • Approve the sequence. You read the steps, edit the tone if you want, and switch it on. Nothing goes out before you approve it.

A setup you finish in one sitting

Plan for a single focused session. Have your domain admin access ready for the DNS check, keep a short description of your best current customers at hand, and decide which booking link interested prospects should receive. Most of the time goes into describing your offer clearly, and that is time worth spending.

The seven steps of the outbound loop

Every account on your list moves through the same seven steps. You can open any account at any step and see exactly what happened and why.

  1. Step 1, prospecting from your ideal customer

OutreachAuto turns your description into an account list from public company data, and adds the companies you import from a CSV file or your CRM. Accounts you already work, customers and competitors stay out through your exclusion list. More on this step in AI lead generation.

  2. Step 2, enrichment and the account brief

For every company OutreachAuto reads the public website and public signals such as open roles and recent news. It writes a short account brief: what they sell, who decides, and why your offer could matter to them now.

  3. Step 3, personalization in your voice

From the brief it writes a first line and a reason to reply for each contact. The rest of the email follows the offer and tone you approved, so every message sounds like your team and not like a template.

  4. Step 4, sending the sequence

Sequences have 3 to 7 steps with delays you choose. Emails go out from your own inboxes, inside the recipient's business hours and time zone, within the daily limit of each inbox, rotating across connected inboxes. A/B variants test two versions of a step.

  5. Step 5, LinkedIn tasks for your rep

On the days a sequence calls for LinkedIn, your rep gets a task list: view the profile, connect, send a message that is already written. No bot logs into LinkedIn, so the rep's account stays safe.

  6. Step 6, follow-up with stop rules

Follow-ups send only while they make sense. A reply, a bounce or an unsubscribe stops the sequence for that contact. An out-of-office reply pauses it and resumes after the return date.

  7. Step 7, replies sorted and meetings booked

Every reply gets a label: interested, meeting request, not now, wrong person with a referral, unsubscribe or out of office, each with a suggested answer. Interested contacts receive your booking link and proposed times, and the meeting lands in your calendar and CRM with the thread attached.

What runs on its own after you approve

  • New accounts are researched and written for every day, up to the monthly contact limit of your plan
  • Each email waits for the recipient's business hours before it sends
  • Warmup, daily limits and inbox rotation keep sending steady across inboxes
  • Stop rules end sequences on replies, bounces and unsubscribes without anyone checking
  • Replies arrive labelled with a draft answer, so your team only reads what needs a decision
  • Contacts, activity and meetings sync to your CRM, or export as CSV on Starter

Where people stay in charge of outbound sales automation

Automation handles the repetitive work. People keep the decisions that shape the pipeline: who is a good fit, what the offer says, which sequence goes live, how to answer an interested reply and who takes the meeting. You can pause a sequence, change a step or remove an account at any moment, and the change applies to the next send.

Deliverability and compliance in every step

Campaigns send only from your own domains and inboxes, never from ours. Every campaign email carries an unsubscribe link and header, and every opt-out joins one suppression list for the whole account. OutreachAuto contacts business addresses only, adds your physical business address for CAN-SPAM and keeps notes for GDPR legitimate interest. Read more on cold email compliance.

What the loop costs

Plans start with Starter at 49 USD a month billed yearly, with 3 inboxes and 1 500 new contacts a month. Growth and Scale add inboxes, seats, workspaces and two-way CRM sync. There is no free plan and no setup fee.

  • Starter 49 USD
  • Growth 124 USD
  • Scale 299 USD

Questions about outbound sales automation

What do I need before I start?

A domain and at least one inbox on Google Workspace, Microsoft 365 or an SMTP and IMAP server, access to your DNS settings, and a clear line on what you sell and to whom. Many teams use a separate domain for cold outreach to protect their main one.

Can I review emails before they send?

Yes. You approve each sequence before it goes live, and you can open any account to read the brief and the exact emails it will receive.

How many emails go out each day?

That depends on how many inboxes you connect and the daily limit you keep on each one. OutreachAuto spreads sending across inboxes and never exceeds the limit you set.

What happens when someone replies?

The sequence stops for that contact, the reply gets a label and a suggested answer, and interested contacts receive your booking link and proposed times.

Can I bring my own lead list?

Yes. Import a CSV file or pull accounts from your CRM, and OutreachAuto enriches and writes for them just like for the companies it finds.
