Automated follow up emails that know when to stop
Busy buyers often miss or postpone a first email, which is why follow-up matters. OutreachAuto sends automated follow up emails from your own inboxes, keeps them in the original thread, and stops the moment a contact replies, bounces or opts out.
Stop rules that protect your reputation
A follow-up sent after someone has already answered looks careless and costs trust. OutreachAuto checks every contact right before each follow-up goes out, not when the sequence was scheduled. If anything has changed, the follow-up does not send.
| Event | What OutreachAuto does |
|---|---|
| Any reply | Stops all remaining follow-ups for that contact and labels the reply |
| Bounce | Stops the contact, marks the address invalid and protects the inbox |
| Unsubscribe | Stops the contact and adds the address to the account-wide suppression list |
| Out of office | Pauses the contact and resumes after the return date |
| Wrong person with a referral | Stops the contact and suggests a short note to the person named |
Any reply
- What OutreachAuto does
- Stops all remaining follow-ups for that contact and labels the reply
Bounce
- What OutreachAuto does
- Stops the contact, marks the address invalid and protects the inbox
Unsubscribe
- What OutreachAuto does
- Stops the contact and adds the address to the account-wide suppression list
Out of office
- What OutreachAuto does
- Pauses the contact and resumes after the return date
Wrong person with a referral
- What OutreachAuto does
- Stops the contact and suggests a short note to the person named
Because the check happens at send time, a reply that arrives at 9:58 stops a follow-up scheduled for 10:00. You never have to remember to pull a contact out of a sequence by hand.
Out-of-office handling without manual work
Out-of-office replies are the most common reason follow-ups land at the wrong moment. OutreachAuto reads the auto-reply, finds the return date when there is one, and moves the next follow-up to a few working days after it. When an auto-reply gives no date, the contact pauses for a set period you choose and then carries on. If the auto-reply names someone else to contact, you get a suggested note for that person as well.
- Return dates read from the auto-reply text in common formats
- Next follow-up moved to after the return, in the contact's business hours
- Auto-replies never counted as real replies in your results
Follow-ups in the same thread
A follow-up that sits under the original email gives the reader context in one glance. By default, OutreachAuto sends follow-ups as replies in the same thread, with the same subject line and proper reply headers, so they group together in Google Workspace, Microsoft 365 and most other mail clients. You can start a fresh thread for any step, which helps when a later step changes the angle completely.
- Reply headers set so mail clients keep the conversation together
- Original message quoted or left out, your choice per step
- Each follow-up adds one new point instead of repeating the first email
Follow-up timing that respects the reader
Timing is the part of follow-up that teams most often guess at. Too close together reads as pressure. Too far apart and the first email is forgotten. OutreachAuto spaces follow-ups with delays you set, holds each one for the recipient's working hours in their own time zone, and avoids weekends unless you switch that off. Our guide to follow up cadence explains how to choose the gaps for your buyer.
- Delays in business days or calendar days
- Sending windows in the recipient's time zone
- A polite final email that closes the loop and leaves the door open
Follow-ups that add something new
"Just bumping this up" gives the reader nothing to reply to. Each automated follow-up in OutreachAuto is written with a different job: a sharper version of the problem, a short proof point from your offer, a simpler question, or a clean close. The account brief behind AI email personalization feeds the follow-ups too, so a later step can mention a different detail about the company than the first email did.
How automated follow-up works in OutreachAuto
-
1
Connect your own inboxes and set a sending window
-
2
Generate a sequence from your offer and ideal customer, or write your own steps
-
3
Choose delays, threading and the final close for each follow-up
-
4
Launch, and OutreachAuto checks stop rules before every send
-
5
Read labelled replies with a suggested answer and book meetings from them
Opt-outs honoured everywhere
Every campaign email, follow-ups included, carries an unsubscribe link and an unsubscribe header. An opt-out from any sequence goes to one suppression list for the whole account, so no other sequence or teammate can email that address again. Read more on cold email compliance.
Pricing for follow-up
Automated follow-up, stop rules and reply labels are part of every plan. Starter is 49 USD a month billed yearly for 3 inboxes and 1 500 new contacts a month.

- Scale 299 USD
How many automated follow up emails should I send?
Three or four follow-ups after the first email is a common and reasonable range for B2B. Fewer can leave interested buyers unreached, and more starts to feel like pressure.
Does a reply stop the follow-ups straight away?
Yes. OutreachAuto checks for replies right before each follow-up sends, so a reply stops every remaining follow-up for that contact, even one scheduled minutes later.
What happens with out-of-office replies?
The contact pauses and the next follow-up moves to a few working days after the return date. If there is no date, the pause lasts for the period you set.
Do follow-ups stay in the same email thread?
Yes by default. Follow-ups go out as replies in the original thread, and you can start a new thread for any step you choose.
Are automated follow-ups counted against my inbox limits?
Yes. Every follow-up counts toward the daily limit of the inbox that sends it, which keeps your sending volume steady and your domain healthy.
